Always schedule your TelePresence meeting using Outlook.
>> Make sure and schedule the TelePresence rooms as resources on your Outlook meeting invite.
>> Always schedule 2 or more TelePresence suites (rooms) to
a meeting.

Speak using your normal voice and do not block the microphone.
>> There is no need to talk louder than normal. The TelePresence microphones will pick up your voice so speak naturally.
>> Try to avoid placing anything (such as a laptop) in front of the microphone at the table as they can distort your speech.

Do not lean across the screen segments or stand up and talk.
>> Be sure you stay seated and positioned between the legs at the table.
>> Leaning across will distort your image across two screens.
>> If you stand up and talk you will appear headless to the other location.

Be conscientious of your appearance and manners.
>> TelePresence is lifelike.
>> Everything you do will be visible to the ther location just like you are physically in the room together.

Only one location should dial into an audio conference bridge to add remote participants.
>> Echo and poor sound quality will result if more than one suite dials into the same conference bridge.

If alternating sites are displaying laptop screens, please unplug your projector cable when you are not displaying.
>> The laptop screen that will display at both locations is the last laptop plugged in.

Use the mute button on the microphone to mute the room audio only.
>> Enabling the mute button on one microphone will enable mute on all of the microphones.
>> Note: audio only conference bridge participants will not be muted by this action.

Complete steps in the "Change Who You See" How To to enable more than one location to appear on the TV monitors based on who is talking at the moment.
>> It works well for meetings with exactly three locations and only one or two participants at each location.
>> For example, have the one individual in Chanhassen sit in the center, the two individuals at Valley View sit on the left, and the one individual in Salt Lake City sit on the right.

Instead of pressing the buttons on the actual display of the CISCO phone, you can instead press the little buttons just below the display.

Always remember to press "End Call" on the IP Phone after every meeting.
This will ensure that the phone line will be available for the next scheduled meeting.
